
Summer is here, and with it — vacation season. When you’re deep in travel planning mode, returning to the office is probably the last thing on your mind. But while you’re away, your inbox isn't. So before you close the laptop and head out the door, here are a few Outlook tips to make sure your first day back doesn’t make you feel like you need a vacation… again.
📂 Set Up Inbox Rules Before You Leave
Outlook’s inbox rules are automatic instructions you give your mailbox: When an email arrives that matches certain conditions, Outlook takes action on it without you ever touching it. Move it to a folder. Mark it as read. Flag it. All automatically, the moment it lands in your inbox.
To create a rule, right-click any email that represents a pattern you want to manage — a newsletter, a notification, an email from a specific sender — select Rules, then Create Rule. Set your conditions (who it’s from, what’s in the subject line, keywords) and your action (where it goes, what happens to it). Save it, and Outlook handles the rest.
Rules can help you manage your post-vacation inbox, so that when you return, you can easily find the emails that actually need your attention. Rules are completely customizable to your workflow, but here are a few worth setting up no matter your routine:
- Newsletters and mailing lists. You can create a rule to move them straight to a dedicated “Read Later” folder.
- Your coverage contact. If a colleague is handling things while you’re out, you can create a rule to flag or star any email from them so it rises to the top the moment you’re back.
- Urgency keywords. Try setting a rule to flag any email with words like “urgent” or “action required” in the subject line. That way, the truly time-sensitive stuff doesn't get buried while you're away.
Once your rules are set, you can apply them to messages already sitting in your inbox by selecting Run Rules Now from the Rules menu. This also works great for clearing the existing backlog before you head out the door.
✉️ Set Your Auto-Reply — and Schedule It in Advance
You probably already know about the out-of-office auto-reply. But did you know you can schedule it to turn on and off automatically, so you don't have to remember to flip a switch the morning you leave?
In Outlook, go to Settings > Automatic Replies and enable the option to send replies only during a specific time period. Set your start and end dates, write your message, and it handles itself from there. Set it up days before you go and forget about it.
When writing your message, keep it short and useful: When you're back, who to contact for anything urgent, and whether you’ll have limited access while you’re away. Outlook lets you write separate messages for people inside and outside your organization, which is handy when your external contacts need a different point of contact while you’re out.
💬 Don't Forget Teams
Outlook and Teams share your out-of-office status. When your auto-reply is active, Teams reflects it too. Anyone who tries to message you will see an “Out of Office” indicator and can view your Automatic Reply.
If you’re a Teams-first person, you can set your OOO message directly in Teams by clicking your profile picture in the top right corner, selecting Set status message, then Schedule out of office. Set your dates and message, and any changes will sync back to Outlook.
📅 Block Your Calendar (And Let Your Team Know)
If you’d like to make sure no one accidentally schedules a meeting in the middle of your trip, try creating an all-day event covering your full time away, set Show As to Out of Office, and save it. Anyone using the Scheduling Assistant to plan a meeting will immediately see you’re unavailable — and hopefully select a time when you’re back in office.
Want to go one step further? You can send your time away directly to teammates’ calendars as a meeting invitation set to display as Free. It shows up on their calendars as a heads-up without blocking any of their own availability.

- ✅ Select Run Rules Now to apply them to what's already sitting in your inbox.
- ✅ Schedule your out-of-office auto-reply with your return date and a backup contact.
- ✅ Confirm your Teams status is showing Out of Office.
- ✅ Block your calendar and share your time away with your team.
